In this demonstration, we’ll review how Administrators and Knowledge Track Administrators can assign and publish a Knowledge Track.
After navigating to the Knowledge Tracks library, locate the Knowledge Track you’d like to assign. Click the 3 dots in the upper right corner, and click “Assign.”
You can assign Knowledge Tracks manually or automatically. Under the Manual Tab, you can assign the Knowledge Track to all of your direct reports by selecting Assign All. You can also choose a subgroup by using filters.
Once you’ve filtered your users appropriately, select “assign filtered.” If you’d like, you can set a due date and enable email notification. Then, click assign, and the Knowledge Track will start being assigned. A progress bar will appear at the top of the page to indicate progress. When the progress bar fills and disappears, your Knowledge Track has been assigned!
If you need to assign a Knowledge Track to a specific learner, you can do so by searching for their name and checking their box. Once you’ve selected the user, be sure to click Assign Selected before you search for the next user.
Note that if a user does not have a subscription, the box next to their name will be gray and they will not be able to be assigned a Knowledge Track. If a user needs to receive a Knowledge Track but does not have a subscription, one will need to be assigned or purchased for them via the Organization Management tools.
To enable automatic assignments, click Automatic. From this page, you can create a rule for automatic assignment. Click “create rule.” Then, choose to include all current and future members of your organization, or future members only. You also have the option of setting a due date rule relative to the date of assignment.
In this example, we want to assign a Knowledge Track to all current and future members. We want all users to have 3 weeks to complete the Knowledge Track, so we’ll set the due date to 3 weeks from assignment and click assign. Now, select the assign button next to the appropriate user group - whether that’s your whole organization or a specific user group. We’ll assign this specifically to the clinical staff user group.
Once we click Assign and then Confirm, all current members of this user group will immediately be assigned the Knowledge Track and will be given 3 weeks to complete it. In the future, whenever a learner gets added to the Clinical Staff user group, they will automatically be assigned this Knowledge Track as soon as they are added to the group, and they will have 3 weeks from that date to complete the Knowledge Track.
You can also make the Knowledge Track visible to all learners within your organization. To make a Knowledge Track public, navigate to the Knowledge Tracks library, select the 3 dots next to a track, and click “Manage Public View.” You can choose to make it visible to certain user groups, or you can make it visible to your whole organization by selecting “All Users in the Org.”
All users will then be able to enroll in the Knowledge Track by navigating to their Dashboard, selecting Knowledge Tracks, and clicking on their Library.
Once a user has been assigned or enrolled in a Knowledge Track, you can view their progress by clicking the 3 dots on a track and selecting Outcomes.
